A half-hour meeting with five people uses two and a half participant-hours. This calculator makes that arithmetic visible before a recurring session is scheduled. Cost uses only the hourly values you enter; it is not a prediction of payroll savings or business results.

Meeting staff-time cost and participant-hours

Use anonymous attendee groups and your own loaded hourly costs in one currency. The annual scenario uses the number of meetings you explicitly enter.

Five people at 30 per hour for 30 minutes gives 75 in staff-time value and 2.5 participant-hours. These are hypothetical numbers.

Use anonymous labels and your own observations. Entries remain in this open page, with no account, upload, automatic storage or messaging. Export or print before closing if you need a copy.

Count people and time together

Enter one row for each anonymous attendee group with the same loaded hourly cost. The per-meeting staff-time value is sum(people × hourly cost) × minutes ÷ 60. Participant-hours are total people × minutes ÷ 60, independent of the monetary rate.

For the hypothetical example, five people at 30 per hour for 30 minutes produce 75 in the chosen currency and 2.5 participant-hours. Changing one group’s rate changes its cost contribution, while adding a person changes both participant-hours and cost. A zero entered hourly cost is allowed; it does not erase that person’s time.

State the cost assumption rather than invent an overhead rate

Use your own loaded hourly costs if that is the scenario you want. The tool supplies no salary, employment overhead multiplier, market wage or participant identity. Keep one currency across every row. Avoid entering private payroll or names; group labels and an agreed planning rate are sufficient for this calculation.

Meeting cost is not automatically avoidable cash. Salaried attendees may use released time elsewhere without reducing payroll. A necessary decision, training session or handoff may justify its time even if the arithmetic is large. The worksheet cannot assess its usefulness, recommend staff cuts or show that canceling it creates revenue.

Enter the actual recurring count

The annual scenario multiplies the single-meeting result by the occurrence count you choose for a stated year. It does not assume that every nominally weekly meeting happens 52 times or every monthly one happens 12 times. Account for planned breaks, holidays and cancellations in your count.

Preparation, follow-up and software subscriptions are not included unless you reflect them explicitly in your own comparison. Use a separate scenario for another duration or group composition instead of treating one meeting as representative of all office work.

Keep the purpose with the number

When a recurring session reviews a process, the office intake SOP builder records the actual trigger, owner, evidence, steps and stop conditions. Writing effective office SOPs addresses the document itself. A cost number does not replace an accountable decision about what the session must achieve.

Method and limits

This is original staff-time arithmetic with hypothetical examples, not an observation of an office or a financial forecast. Up to 30 group rows share one duration and one annual count. No external price or wage data is used. Print the worksheet with your assumptions if you need to keep it; inputs are not automatically stored or transmitted.
